Frequently Asked Questions

Annual commitment

What is it?

An annual commitment for a period of 12 months at a fixed price, paid monthly or annually upfront (subject to credit checks).

Can I increase license count during this 12-month term?

Yes, you can increase an existing license type count, or add a new license type during the 12-month term. This will be co-termed into the contract term and charged for pro-rata. Note that the pro-rate charge is applied per month.

Example: The contract term runs from 1st April to 31st March, a license is added on the 18th of September, that license would be charged from 1st September to 31st March.

Can I decrease license count during this 12-month term?

No. Unless it is within 72 hours of the license start date. After 72 hours has expired no cancellation is possible until the end of the 12-month term.

Example: There are 65 licenses. 10 users leave the business and therefore only 55 licenses are in use. You will continue to pay for 65 licenses until the end of the 12-month term.

Can I add licenses on an annual commitment and others on a monthly commitment?

Yes, this is possible and allows you to retain some flexibility if you know your staff base may fluctuate.

Can I change provider to an alternative Microsoft Partner?

No, you cannot change partners mid-term.

Example: The contract term runs from 1st April to 31st March, you wish to move license supply to a different partner in October. This is not possible; you would have to wait for the contract term to expire. You could only move to a new license partner after 31st March.

What happens at the end of the contract term?

We will contact you prior to contract expiry with a renewal quote. This is your opportunity to confirm that license types and quantities are still accurate prior to signing a new contract which will begin a new 12-month term.

What if I don't sign a new 12-month term contract before my existing contract term expires?

There will be a 72-hour renewal window from contract expiry. After this all licenses will terminate – this would lead to disruption to your business.

Monthly Commitment

What is it?

A monthly commitment for a period of 30 days at a fixed price, paid monthly and rolling until notice to terminate is given. The contract will start on the day that the first license is made available.

Can I increase license count during this 30-day term?

Yes, you can increase an existing license type count, or add a new license type during the 30-day term. This will be co-termed into the contract term and charged for at the full month price.

Example: The contract term runs 1st April to 30th April, a license is added on the 18th of April, that license would be charged for from 1st April to 30th April.

Can I decrease license count during this 30-day term?

No. Unless it is within 72-hours of the license start date. After 72-hours has expired no cancellation is possible until the end of the 30-day term.

Example: There are 65 licenses. 10 users leave the business and therefore only 55 licenses are in use. You will continue to pay for 65 licenses until the end of the 30-day term.

Month on month you can fluctuate license count both up and down.

Can I add licenses on an annual commitment and others on a monthly commitment?

Yes, this is possible and allows you to retain some flexibility if you know your staff base may fluctuate.

Can I move my license supply to a different Microsoft Partner?

Yes, you cannot change partners.

Example: The contract term runs 1st April to 31st April, you wish to move license supply to a different partner on the 18th. This is not possible; you would have to wait for the contract term to expire. You could only move to a new license partner after 31st April.

What happens at the end of the contract term?

Unless we hear from you your licenses will automatically roll over into a new 30-day period. If you want to cancel a license or decrease a license count, we need to be told no less than 5 days prior to the end of the 30-day contract term. To terminate the 30-day contract term entirely, we must be informed no less than 30 days prior to the end of the 30-day contract term.

Why is month to month pricing more expensive?

Microsoft charge a premium for the flexibility of increasing or decreasing you license count month on month. Microsoft want you to lock in for 12 months and they offer a preferential price for doing so.
